At Smart Mock Interview ("we", "us", "our"), we take your privacy seriously. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you visit our website and use our interview preparation services.
1. Information We Collect
We collect information that you voluntarily provide to us when you register for the Service, express an interest in obtaining information about us or our products and services, when you participate in activities on the Service, or otherwise when you contact us.
Personal Information: Name, email address, and profile picture (via Google Authentication).
User Content: Resumes, job descriptions, cover letters, and interview answers (text and audio) that you upload or generate.
Usage Data: Information about how you use the Service, such as study plans generated and practice session history.
2. AI and Third-Party Processors
To provide our core services—such as generating interview questions, analyzing resumes, and providing feedback—we utilize third-party artificial intelligence (AI) and cloud services.
AI Disclosure
We use Google Cloud Vertex AI (Gemini Models) to process your text and audio inputs. When you submit a resume, job description, or interview answer:
We utilize the Paid Enterprise version of Google's APIs. We intentionally do not use free consumer tiers.
Important: Your data is NOT used to train Google's models. We rely on Google Cloud's strict enterprise data privacy commitments.
Data processing is strictly transient and stateless.
3. Service Providers
Payment Processing
We use Stripe for payment processing. We do not store your card details on our servers. The data is encrypted and processed by Stripe.
Stripe acts as a separate data controller for your financial information.
By making a purchase, you agree to Stripe's Privacy Policy.
Email Communications
We use Resend to send transactional emails (login links, welcome emails, reports).
Your email address and name are shared with Resend solely for the purpose of delivering these communications.
4. International Data Transfers
Our servers and third-party service providers (Hosting, AI, Database) may be located outside the European Economic Area (EEA), primarily in the United States.
We rely on Standard Contractual Clauses (SCCs) and Data Processing Agreements (DPAs) with our vendors to ensure your data is protected in compliance with GDPR.
By using the Service, you consent to the transfer of your data to these regions.
5. Specific Data Handling
Voice Data
If you use our voice answer feature, your audio is recorded and transmitted to our cloud providers for transcription and analysis (e.g., measuring words per minute, sentiment, and filler words).
Processing: Audio is converted to text for AI analysis.
Storage: Audio files are stored securely so you can play them back in your session review.
Deletion: You can delete specific interview sessions at any time, which permanently removes the associated audio files.
Resume Data
Resumes you upload are processed in-memory solely for the purpose of extracting text to generate relevant interview questions and provide feedback.
No File Storage: We do not store your original resume file on our servers or cloud storage. The file is discarded immediately after text extraction.
We do not share your resume with employers, recruiters, or job boards.
Your extracted resume text is strictly private and visible only to you.
6. Data Retention
We retain your personal information and User Content for as long as your account is active or as needed to provide you the Service.
General Data: Account data is kept until you delete your account.
Voice Recordings: To manage storage costs and privacy, voice recordings may be automatically deleted 30 days after the interview session, unless explicitly saved or archived by the user (if such a feature is available). Transcripts and analysis scores are retained indefinitely for your progress tracking.
Inactive Accounts: We reserve the right to delete data from accounts that have been inactive for an extended period (e.g., over 12 months) after providing notice.
7. Security
We use administrative, technical, and physical security measures to help protect your personal information. While we have taken reasonable steps to secure the personal information you provide to us, please be aware that despite our efforts, no security measures are perfect or impenetrable, and no method of data transmission can be guaranteed against any interception or other type of misuse.
